Cost[edit | edit source]

Daily (Truck) Rental fee:

  • $40 for the F150
  • $50 for the F250
  • Gas to return vehicle full

Charged directly to the speed code during rental

Note: Email Paul or wefinglog@uwo.ca with a speed code permanently set up with their store so that when we use their credit card to refill the vehicle, we can use the discounted gas on campus.

Operation & Procedure[edit | edit source]

PART A: Driving Approval[edit | edit source]

  1. To book any faculty vehicle, you must be prepared to complete the online Western Driver Form and present the following information:
    • Valid G driver's license
    • Personal automobile insurance
    • Car accident history
    • (recommended) driving experience if booking a truck
  2. On the form, populate all fields except for the the first field listing the "department request", the "department approval name" and "department approval signature". These fields will be completed by the Engineering Financial & Logistical Service.
  3. Review the Western Vehicle Usage Policy and sign and date it.
  4. Once both forms have been completed, submit to Stephen Mallinson at wefinlog@uwo.ca
  5. In one to two business days you will be added to the approved driver list and have access to the vehicle booking calendar

PART B: Booking the Vehicle[edit | edit source]

  1. Navigate to the western Faculty Vehicles - Booking Procedures page and check your eligibility by entering your email address
  2. Should you have been added to the driver's list correctly, you will be brought to an availability booking page. Select:
    • Vehicle (This will show the calendar, and existing bookings. The following dates and time you select must work around this schedule)
    • Pick up date
    • Pick up hour
    • Return date
    • Return hour
  3. Submit and proceed to the form page. Select:
    • Name
    • Group = Free Appropriate Sustainability Technology (FAST)
    • Speed Code (request from Dr. Pearce)
    • Purpose = likely material collection
    • Personal phone number
  4. A calendar invite/confirmation will be sent to your email - the vehicle has been booked for your day of interest and must be picked up.

PART C: Vehicle Collection and Use[edit | edit source]

  1. Organize all necessary equipment for use depending on the purpose of your booking
    • Recommendation: Ratchet straps in TEB 6, bungee cords, and other appropriate tie down equipment should the reason for booking involve any payload requiring the bed of the truck
    • ALL items must be secured using the truck tie downs (clips typically located near the bulkhead and tailgate of the truck bed)
  2. Go to TEB room 40 to collect the vehicle key fob and credit card at your booking time (this is the same room as the engineering store for order collection)
    • Paul will provide you with the card pin at the time of collection
  3. The vehicle will be found in the South Valley Parking Lot (between TEB, Rec center, and HSB). All western vehicles are parked in the reserved faculty spots along the TEB facing perimeter
  4. The parking brake will likely be engaged - release it using the switch at the bottom left of the steering wheel

PART D: Vehicle Return[edit | edit source]

  1. Once you have finished using the vehicle, use the provided credit card to refill the truck to full prior to returning it
  2. Save the receipt from the gas station, write your name, group (FAST + Dr. Pearce), and Speed code on the receipt
  3. Return the receipt, keys, and credit card to the drop box on the front of the doors outside TEB 40 if the office is closed (after 4pm)
